1. OUR COMMITMENT

JTT Muay Thai is committed to providing a safe, respectful and inclusive environment for everyone who trains, works, volunteers or visits the gym.

Safeguarding is everyone’s responsibility.

We have a duty to take reasonable steps to protect children, young people and adults from abuse, neglect, exploitation, harassment, bullying and other forms of harm.

The welfare and safety of children and young people will always be a primary consideration.

JTT Muay Thai will take safeguarding concerns seriously regardless of who is involved, including allegations or concerns involving:

  • coaches;

  • staff;

  • volunteers;

  • members;

  • fighters;

  • parents or carers;

  • spectators;

  • contractors;

  • visitors; or

  • people outside the gym.

A person does not need to make a formal complaint before JTT Muay Thai can take reasonable safeguarding action.

⸻

2. WHO THIS POLICY APPLIES TO

This policy applies to:

  • all JTT Muay Thai staff and coaches;

  • volunteers;

  • contractors;

  • fighters and members;

  • children and young people;

  • parents and carers;

  • visitors and spectators;

  • anyone representing JTT Muay Thai at competitions, interclubs, seminars, trips or other events.

For this policy, a child or young person is anyone under the age of 18.

Adult safeguarding may apply particularly where an adult has care and support needs which make them unable to protect themselves from abuse or neglect, but JTT Muay Thai also expects appropriate behaviour towards all adult members.

⸻

3. SAFEGUARDING PRINCIPLES

JTT Muay Thai will:

  1. Put safety and welfare first.

  2. Treat safeguarding concerns seriously.

  3. Listen to people who raise concerns.

  4. Avoid prejudging either the person reporting a concern or the person who is the subject of it.

  5. Take proportionate action based on the information and risks available.

  6. Maintain confidentiality as far as reasonably possible.

  7. Share safeguarding information when necessary to protect someone or comply with legal obligations.

  8. Keep appropriate records of safeguarding decisions.

  9. Review safeguarding measures when circumstances change.

  10. Contact statutory authorities where necessary.

⸻

4. SAFEGUARDING CHILDREN AND YOUNG PEOPLE

JTT Muay Thai recognises the following main categories of abuse:

Physical abuse

Including deliberately causing injury or inappropriate physical punishment.

In a combat-sports environment, legitimate coaching, pad work, sparring and competition must not be confused with abuse. However, coaches must ensure that contact is appropriate to the participant’s age, experience, ability and the purpose of the session.

No child should be deliberately exposed to unreasonable risk of injury.

Emotional abuse

Including:

  • humiliation;

  • intimidation;

  • threatening behaviour;

  • persistent criticism;

  • degrading language;

  • deliberately undermining a child’s confidence;

  • bullying; or

  • placing inappropriate pressure on a young athlete.

Sexual abuse

Any sexual activity involving a child, sexualised communication, grooming, inappropriate touching, exposure to sexual material or exploitation is prohibited.

Neglect

Including failing to provide appropriate supervision, medical attention, safe equipment or reasonable protection from foreseeable harm.

Bullying and cyberbullying

Bullying, harassment, discriminatory behaviour and online bullying will not be tolerated.

⸻

5. COACHING CHILDREN SAFELY

Coaches must maintain professional boundaries at all times.

Coaches should:

  • treat children fairly and respectfully;

  • explain physical contact wherever reasonably possible;

  • ensure physical contact is appropriate to Muay Thai instruction;

  • avoid unnecessary physical contact;

  • avoid being unnecessarily isolated alone with a child;

  • conduct one-to-one coaching in an observable or open environment wherever reasonably possible;

  • use age-appropriate language;

  • never make sexualised comments or jokes;

  • never engage in sexual or romantic communication with a child;

  • never humiliate or deliberately frighten a child;

  • never use excessive physical exercise as punishment;

  • consider age, experience, weight, size and ability when matching children for sparring;

  • intervene if sparring becomes unsafe or excessively aggressive.

⸻

6. CHANGING ROOMS, TOILETS AND PRIVATE AREAS

Staff and coaches must respect children’s privacy.

Adults should avoid entering children’s changing areas unnecessarily.

Where supervision or intervention is necessary because of an emergency, safety issue or safeguarding concern, it should be carried out appropriately and, where practicable, with another responsible adult present.

Photography and filming must never take place in toilets or changing areas.

⸻

7. PHOTOGRAPHY, VIDEO AND SOCIAL MEDIA

JTT Muay Thai regularly uses photographs and videos to promote Muay Thai, fighters, events and the gym.

Appropriate consent should be obtained for the use of images of children.

Staff must not:

  • take inappropriate images;

  • film children in changing areas;

  • use images in a humiliating or sexualised manner;

  • privately request inappropriate photographs;

  • use social media to develop inappropriate personal relationships with young members.

Where possible, communication with children concerning training should take place through parents/carers, official gym channels or appropriate group communication.

⸻

8. TRANSPORTING CHILDREN

Parents/carers are normally responsible for arranging transport.

Where a coach or member of staff transports a child as part of an organised JTT activity, appropriate parental consent should be obtained and reasonable safeguarding measures taken.

Coaches should avoid unnecessary one-to-one journeys with children where practical alternatives exist.

⸻

9. COMPETITIONS, INTERCLUBS AND TRIPS

For organised events involving children, JTT Muay Thai should ensure appropriate:

  • parental consent;

  • emergency contact information;

  • supervision;

  • medical information;

  • transport arrangements;

  • risk assessment;

  • coaching supervision; and

  • safeguarding arrangements.

A child’s welfare takes priority over winning a fight or competition.

A child should not be pressured to compete when injured or medically unfit.

⸻

10. WEIGHT CUTTING AND COMBAT-SPORT SAFETY

Children and young people must not be encouraged to undertake dangerous or extreme weight-cutting practices.

Coaches should prioritise health, development and long-term participation over making a particular competition weight.

Any concern about unsafe weight management should be raised with the Head Coach or Safeguarding Lead.

⸻

11. SAFER RECRUITMENT

Where appropriate to their role, individuals working with children should undergo safer recruitment procedures.

These may include:

  • identity checks;

  • references;

  • appropriate DBS checks;

  • safeguarding training;

  • verification of coaching qualifications or experience;

  • clear role descriptions;

  • induction into JTT safeguarding procedures.

A DBS certificate alone does not make somebody suitable to work with children.

⸻

12. SAFEGUARDING TRAINING

Coaches and staff working with children should receive safeguarding information and appropriate training relevant to their role.

The Designated Safeguarding Lead should undertake enhanced training appropriate to the safeguarding-lead role.

Staff should know:

  • how to recognise safeguarding concerns;

  • who to report them to;

  • how to respond to a disclosure;

  • what information should be recorded; and

  • when emergency services or statutory agencies may need to be contacted.

⸻

13. ADULT SAFEGUARDING

JTT Muay Thai wants all adult members to be able to train without experiencing abuse, exploitation, intimidation or harassment.

Concerns may include:

  • physical abuse;

  • sexual abuse or sexual misconduct;

  • coercive or controlling behaviour;

  • harassment;

  • stalking;

  • bullying;

  • discriminatory abuse;

  • financial exploitation;

  • domestic abuse;

  • psychological or emotional abuse;

  • exploitation; or

  • neglect.

Special consideration should be given where an adult has care and support needs or may have difficulty protecting themselves from abuse.

⸻

14. SEXUAL HARASSMENT AND SEXUAL MISCONDUCT

Sexual harassment, unwanted sexual behaviour and sexual misconduct are not acceptable at JTT Muay Thai.

Examples may include:

  • unwanted sexual comments;

  • sexual jokes directed at another member;

  • unwanted touching;

  • repeated unwanted advances;

  • sexual intimidation;

  • sharing sexual images without consent;

  • inappropriate sexual messages;

  • pressuring another person into sexual activity;

  • stalking or persistent unwanted contact.

JTT Muay Thai is not responsible for determining whether a criminal offence has been committed. That is a matter for the police and criminal justice system.

However, JTT Muay Thai may take reasonable safeguarding or membership action where behaviour creates a potential risk to members or the gym community.

⸻

15. RELATIONSHIPS BETWEEN MEMBERS

JTT Muay Thai recognises that friendships and relationships may develop between adult members.

The gym does not normally intervene in consensual relationships between adults.

However, JTT may become involved where allegations or concerns involve:

  • violence;

  • threats;

  • harassment;

  • stalking;

  • sexual misconduct;

  • coercive or controlling behaviour;

  • abuse of a position of trust;

  • behaviour occurring at the gym;

  • behaviour affecting another member’s ability to train safely; or

  • a credible safeguarding risk to members.

⸻

16. COACH–MEMBER BOUNDARIES

Coaches hold positions of trust and influence.

They must not exploit their position to obtain sexual, financial or other personal advantage.

Particular care must be taken where there is a significant imbalance of power or vulnerability.

Sexual or romantic relationships between staff/coaches and anyone under 18 are prohibited.

⸻

17. REPORTING A SAFEGUARDING CONCERN

Any person may raise a safeguarding concern.

Concerns should normally be reported to:

Designated Safeguarding Lead:

James toomey

If the concern relates to the Designated Safeguarding Lead, it should be reported to:

Deputy Safeguarding Lead

Kai wu

Reports may come from:

  • the person affected;

  • another member;

  • a parent;

  • a coach;

  • a witness;

  • another gym;

  • police;

  • a governing body; or

  • another organisation.

Anonymous concerns may be considered, although anonymity can make investigation and risk assessment more difficult.

⸻

18. RESPONDING TO A DISCLOSURE

If somebody tells a member of staff that they have been harmed or abused, staff should:

  • listen calmly;

  • take the person seriously;

  • avoid expressing disbelief;

  • avoid asking unnecessary or leading questions;

  • not promise complete confidentiality;

  • explain that information may need to be shared to keep someone safe;

  • record what was said as accurately as possible;

  • note the date, time and circumstances;

  • report it promptly to the Safeguarding Lead.

Staff should not conduct their own criminal investigation.

⸻

19. IMMEDIATE DANGER

If a child or adult is believed to be in immediate danger or there is an emergency, call 999.

Where appropriate, safeguarding concerns may also be referred to:

  • police;

  • children’s social care;

  • adult social care;

  • the relevant safeguarding authority;

  • the sport’s governing body; or

  • another appropriate statutory agency.

JTT Muay Thai does not need to establish that abuse has definitely occurred before raising a genuine safeguarding concern with an appropriate authority.

⸻

20. ALLEGATIONS AGAINST A COACH, MEMBER OR MEMBER OF STAFF

An allegation will be treated seriously but will not automatically be treated as proof that misconduct occurred.

The Safeguarding Lead should consider:

  • the nature and seriousness of the allegation;

  • whether children or adults may currently be at risk;

  • whether immediate protective measures are required;

  • whether police/social services or another authority should be contacted;

  • whether the person concerned should temporarily have restrictions placed upon their attendance or duties.

The gym should avoid attempting to determine criminal guilt.

⸻

21. TEMPORARY SAFEGUARDING MEASURES

JTT Muay Thai may introduce temporary safeguarding measures while concerns are assessed or investigated.

These may include:

  • temporary suspension from training;

  • temporary exclusion from particular sessions;

  • preventing contact with particular members;

  • requiring supervised attendance;

  • changing coaching responsibilities;

  • preventing work with children;

  • changing training times;

  • restricting access to certain areas;

  • temporary suspension from staff or coaching duties.

A temporary safeguarding restriction is a neutral protective measure and does not amount to a finding of guilt.

The purpose is to manage potential risk while further information is obtained.

⸻

22. FAIRNESS TO ALL PARTIES

Safeguarding requires JTT Muay Thai to consider both protection from harm and fair treatment.

Where appropriate, the person who is the subject of a concern should be informed that a concern has been raised and given a reasonable opportunity to respond.

However, JTT may delay providing particular information where disclosure could:

  • place somebody at risk;

  • identify a confidential reporter unnecessarily;

  • interfere with a police or safeguarding investigation; or

  • otherwise compromise safeguarding.

JTT will not automatically disclose the identity of somebody who reports a concern.

Equally, confidentiality cannot be guaranteed where disclosure is legally required or necessary to protect somebody from serious harm.

⸻

23. NO RETALIATION

No member should intimidate, threaten, harass or retaliate against somebody because they:

  • raised a safeguarding concern;

  • supported another person raising a concern;

  • participated in a safeguarding review; or

  • provided information.

Retaliation may itself result in disciplinary action or removal from the gym.

⸻

24. SAFEGUARDING REVIEWS

Where temporary restrictions have been introduced, JTT should review them periodically.

A review may consider:

  • whether new information has become available;

  • whether police or another authority is involved;

  • whether the level of risk has changed;

  • whether the restriction remains proportionate;

  • whether additional safeguarding arrangements could safely manage the risk;

  • the impact upon other members.

Possible outcomes include:

  • removing restrictions;

  • continuing restrictions;

  • modifying restrictions;

  • permitting a structured return with safeguards;

  • suspension for a further period; or

  • permanent termination of membership where justified under the gym’s rules and circumstances.

⸻

25. RECORD KEEPING

JTT Muay Thai should maintain confidential safeguarding records.

Records should include where appropriate:

  • date and time;

  • person raising the concern;

  • nature of the concern;

  • factual account of information received;

  • action taken;

  • people/agencies contacted;

  • safeguarding measures imposed;

  • reasons for significant decisions;

  • review dates and outcomes.

Records should distinguish between facts, allegations, observations and opinions.

Safeguarding records should only be accessible to people who genuinely need access.

⸻

26. CONFIDENTIALITY

Safeguarding information is sensitive.

Staff, coaches and members should not gossip about safeguarding allegations or discuss them unnecessarily within the gym or on social media.

Information should be shared on a need-to-know basis.

However, safeguarding takes priority over confidentiality where somebody may be at risk of serious harm.

⸻

27. BULLYING, HARASSMENT AND DISCRIMINATION

JTT Muay Thai has zero tolerance for bullying, intimidation, harassment or discriminatory abuse.

Members must treat each other with respect regardless of age, disability, race, religion or belief, sex, sexual orientation, gender reassignment or background.

Reasonable disagreements or sporting competitiveness must not become abusive behaviour.

⸻

28. COMPLAINTS ABOUT SAFEGUARDING DECISIONS

A person affected by a safeguarding decision may ask JTT Muay Thai to review that decision.

A request should explain:

  • what decision is disputed;

  • why the person believes it should be reconsidered; and

  • any relevant new information.

Where practicable, a person not directly involved in the original decision should assist with the review.

Safeguarding restrictions may remain in place during a review where reasonably necessary.

⸻

29. BREACHES OF THIS POLICY

Breaches may result in:

  • verbal or written warnings;

  • safeguarding conditions;

  • suspension;

  • removal from particular classes;

  • removal from coaching duties;

  • termination of employment or volunteering arrangements where applicable;

  • termination of gym membership;

  • referral to police, social services, a governing body or another authority.

Action will depend on the seriousness and circumstances of the matter.

⸻

30. RESPONSIBILITY OF ALL JTT MEMBERS

Every person at JTT Muay Thai contributes to creating a safe environment.

Members should:

Recognise – Respond – Record – Report

Do not ignore a serious concern because you are unsure whether it amounts to abuse.

Report the information to the Safeguarding Lead and allow the appropriate person or authority to decide what action is necessary.

⸻

31. POLICY REVIEW

This policy will be reviewed at least annually and sooner if:

  • safeguarding legislation or guidance changes;

  • JTT Muay Thai changes its activities;

  • an incident identifies a weakness in the policy; or

  • the club’s governing body or safeguarding authority updates its requirements.
